A day in the life (Responsibilities)
Role Overview
We are seeking a dynamic and detail-oriented Workplace Experience Manager to oversee
end-to-end workplace operations and deliver a seamless, safe, and engaging employee
experience. This role will be responsible for managing facilities, transport, events, security,
and compliance, while ensuring operational excellence and high service standards.
Key Responsibilities
- Facilities & Workplace Operations
- Manage day-to-day facility operations including housekeeping (soft services) and
hard services (HVAC, electrical, plumbing).
- Ensure optimal functioning of all workplace infrastructure and utilities.
- Drive preventive and corrective maintenance programs.
- Transport Management
- Oversee employee transport operations, including vendor management, routing,
and adherence to safety standards.
- Ensure compliance with company policies for transport usage and service delivery.
- Events & Employee Engagement
- Plan and execute internal engagement activities and external corporate events.
- Collaborate with cross-functional teams to deliver high-quality workplace
experiences.
- Security & Safety
- Manage overall site security operations including access control, surveillance
systems, and incident management.
- Oversee escort security processes, especially for late-night transport or special
cases.• Ensure adherence to security protocols and risk mitigation measures.
- EHS (Environment, Health & Safety)
- Ensure compliance with all EHS standards and statutory regulations.
- Conduct regular safety audits, drills, and training sessions.
- Drive a culture of safety and well-being across the workplace.
- Vendor & Stakeholder Management
- Manage multiple vendors across facilities, transport, security, and events.
- Monitor SLAs/KPIs and ensure high-quality service delivery.
- Act as a key point of contact for internal stakeholders.
- Audits & Compliance
- Lead internal and external audits related to facilities, security, and EHS.
- Ensure documentation, compliance, and closure of audit observations.
- Ticketing & Helpdesk Management
- Manage workplace ticketing systems for issue tracking and resolution.
- Ensure timely closure of tickets and continuous service improvement.
Required Skills & Competencies
- Strong knowledge of facility management (hard & soft services)
- Experience in transport and security operations
- Good understanding of EHS standards and compliance
- Vendor management and negotiation skills
- Event planning and execution expertise
- Proficiency in ticketing/helpdesk systems
- Strong communication and stakeholder management skills
- Problem-solving and decision-making ability
Core Technical Proficiency• Microsoft Excel: Advanced (Pivot Tables, VLOOKUP/XLOOKUP, Data Analysis,
Dashboards, MIS Reporting)
- Microsoft PowerPoint (PPT): Advanced (Executive presentations, data storytelling,
visual design)
- Microsoft Word: Advanced (Documentation, SOP creation, formatting, reports)
- Reporting & Analytics: Strong experience in generating MIS reports, dashboards, and
data-driven insights
- Data Management: Data tracking, consolidation, and analysis for operational
efficiency
- Presentation & Communication: Creating impactful reports and presentations for
leadership reviews
