As a Grants Administrator, you’ll support grant activity across all portfolios of the Gilbert Family Foundation (GFF) at the administrative level. You’ll be responsible for supporting peak efficiency and accuracy in grantmaking, tax, accounting, and legal processes. This role requires strong attention to detail in a support role for tasks such as grant development and execution, financial review, progress report review, and payment approval and processing. You’ll also support the Operations Manager with administrative tasks related to the maintenance of the grant management database.
About the role
- Triage all inquiries to the Foundation and make recommendations for disposition to team leaders or Executive Director as needed
- Process payments related to grants, sponsorships and vendors
- Review grant applications and progress reports for compliance with IRS regulations for grants and programs; make recommendations to the Grants Managers including conducting review of the Form 990 and audited financial statements
- Raise concerns with grant application review, progress reporting review, and tracking toward milestones as it pertains to compliance, metrics, and performance to the Grants Manager
- Provide professional customer service and technical support to ensure our partners’ experience is exceptional
- Support optimal performance of Salesforce systems by conducting routine review of data integrity
- Support the regular documentation review of business and technology processes and requirements as needed
- Perform data updates using Data Loader or other applications
- Maintain knowledge of the platform’s new tools, capabilities, and updates to best inform grants administration processes
- Continuously evaluate grants tools including the grants management database, grant agreement templates, grant reporting templates, etc. for efficiencies and improvements
- Pursue additional training in grant management requirements and regulations, as needed
- Support the participatory budgeting process, initiate transfers between initiatives, and support data updates regarding reporting for the board and leadership as requested
- Work with the accounting and finance team to regularly reconcile the accounts payable system with the grants management system and maintain monthly and quarterly budget-to-actual reports
- Work with the marketing and communications team to ensure adherence to budget and process
- Maintain consistent data tracking and reporting structures across all pillars of the Foundation
- Demonstrate proficiency in the skills required for the role of program and grants management with a deep understanding of core competencies: scope, schedule, communication, risk and issue management, and compliance
- Support the grants managers by creating reports necessary to carry out the functions of the team
About you
Minimum qualifications
- Bachelor’s degree in business administration or foundation/non-profit management or equivalent work experience
- Experience in a grants administration role or equivalent
- Proficiency in the Microsoft Office suite
- Proficiency in Salesforce or similar grants management software
- Ability to analyze grant reporting including financial reports and Form 990
- Excellent written and verbal communication skills and the ability to communicate effectively with individuals at all levels of an organization, including executive leadership
- Ability to understand and respond to the client and partner needs in rapidly changing business environments
Preferred qualifications
- 2 years of experience in a grants administration role
- Salesforce Administration Certificate
