Join our dynamic team as a Receptionist & Office Administrator! Based in our bustling Hong Kong office, you will be the first point of contact for our visitors and a pivotal figure in facilitating the smooth operation of our office. This role is perfect for someone who thrives in a fast-paced environment and is committed to providing outstanding customer service. This position will be onsite 5 days per week.

What you’ll do:

  • Visitor Management: Greet and assist all guests; ensure visitor registration via building security systems; direct individuals to appropriate departments.
  • Communication: Handle incoming calls with professionalism; maintain clear and effective communication across all levels of the company.
  • Office Coordination: Manage the setup and breakdown of conference rooms for various meetings and events. Assist with office supply orders and maintain stocked kitchens and service areas.
  • Event Planning: Coordinate onsite and offsite catering for regular and special events, including monthly birthday celebrations and Townhalls.
  • Administrative Support: Create and maintain PowerPoint presentations, spreadsheets, and organizational calendars. Assist with video conferencing setups and manage corporate credit card reconciliations.
  • Mail and Deliveries: Manage incoming and outgoing mail and packages, including preparation of shipping labels and handling of sensitive documents.
  • Facility Support: Conduct end-of-day checks to ensure shared spaces are organized and presentable. Report all facility related issues to the building.
  • Vendor Management: Be the point-of-contact for vendors that provide key services for OM Team functions.

What we are looking for:

  • Experience: Minimum 3+ years in receptionist, office administration, or related role
  • Skills: High proficiency in Microsoft Office; excellent communication, organizational, and customer service skills
  • Attributes: Professional demeanor, meticulous attention to detail, and a strong ethical stance on confidentiality
  • Physical: Ability to lift/move items up to 40 lbs; assistance devices available
  • Personality: Positive attitude, flexible, with a keen ability to manage multiple tasks and adapt to changing priorities
