We are seeking an experienced Administrative Assistant to support our executives at Netflix in Los Angeles. This role will report to two leaders and support their teams in Music Business and Legal Affairs and Music Data, Technology, and Rights (both part of the Studio Affairs Legal organization). This team works cross-functionally, impacting many areas of our business.
A successful candidate will be self-motivated, proactive, quick-thinking, flexible, and able to juggle multiple and diverse responsibilities. They will need to have strong organizational skills and unwavering attention to detail at all times, as well as an interest in coordinating projects, planning team activities, and events. This is a demanding and fast-moving position that requires someone who is calm, exercises good judgment, prioritizes competing tasks, collaborates easily across teams, and anticipates needs before they arise.
Specific responsibilities include, but are not limited to:
Maintain calendars for 2-4 executives and alignment with their direct reports, including scheduling meetings both internally and externally, and booking various events
Assist other team members with calendaring, as needed
Process expenses and expense reports
Prepare presentation decks, memos, executive level documents
Coordinate travel arrangements, both domestically and internationally.
Plan team and cross-functional offsites through coordination with hotels and vendors for lodging, catering, flights, A/V, and transport
Assist with onboarding new hire tasks for this team
Coordinate cross-functional projects and initiatives, from scheduling and prepping working groups to tracking action items and deadlines.
Support internal and external meeting and stakeholder management, including agendas, pre-reads, documentation, and follow-through.
Coordinate with external partners and vendors on scheduling, document exchange, and follow-ups tied to team priorities.
Other administrative tasks, as assigned
Qualifications:
5+ years as an executive/administrative assistant
Experience working within the legal space and the ability to be discreet and maintain confidential information
Experience coordinating projects or programs, including tracking action items, timelines, and deliverables across multiple stakeholders.
Proficiency in Google Preferred: Gmail, GCalendar, Google Docs, Google Groups, MS Word/Excel
Strong written and verbal communication skills and the ability to build relationships and navigate with colleagues and other admins cross-functionally
Attention to detail and the ability to take initiative and provide feedback to support the fast-paced team
Understanding how to multitask, prioritize, and respond accordingly
Team player who operates in a fast-paced, team-oriented setting
Event organization experience
Comfort working with external partners and vendors, managing communications, and following through professionally
The role is based out of our Los Angeles office. There is an in-office expectation of 3 days a week on Tuesday through Thursday.
Generally, our compensation structure consists solely of an annual salary; we do not have bonuses. You choose each year how much of your compensation you want in salary versus stock options. To determine your personal top of market compensation, we rely on market indicators and consider your specific job family, background, skills, and experience to determine your compensation in the market range. The range for this role is $38.46 - $71.39.
