Job Summary:
We are seeking an experienced Production Coordinator to support our Assets team on an exciting new animated feature film. In this role, you will be a department-focused coordinator reporting directly to the Production Manager.
As a key liaison between the production team, department leads, and artists, you will provide day-to-day support, ensuring clear communication and smooth workflow across the team. You will be responsible for tracking progress, facilitating daily workflows and deliverables, and maintaining a department floor schedule.
What You’ll Do:
Build and maintain daily floor schedules in collaboration with the Production Supervisor, Craft Lead, and Craft Supervisor, assigning tasks to artists and ensuring they have the necessary support, information, and materials required to achieve targets.
Work within the prescribed structure of the Production Tracking System for the project.
Ensure statuses for all tasks within your team are up-to-date at all times, provide timely Estimate to Complete (ETC) reports, and ensure any material received or distributed to artists is logged and tracked.
Work toward agreed targets set by the Production Supervisor and priorities set by the Production Manager, clearly communicating any variances.
Provide weekly summary reports highlighting team progress, achievements, and challenges; collaborate with supervisors to adjust weekly goals and communicate updates.
Escalate any technical or creative issues that could jeopardise upcoming targets.
Review and approve all artist timesheets weekly, ensuring accuracy.
Coordinate and prepare for reviews, working with the Craft Lead to organise content for each review and provide a clear agenda.
Take clear, concise notes during reviews and follow up with artists to ensure direction from the review is understood.
Ensure cross-department requests are clearly communicated and liaise with other Production Coordinators regarding issues affecting your team.
Build strong relationships with artists to ensure appropriate support is provided.
Escalate artist or crew concerns to Production or Artist Management as needed.
Foster a positive, supportive team environment that reflects company culture.
What You’ll Need:
Previous experience working within a production team for an Animation, VFX or Games studio (Animation is preferred).
Solid understanding of a CG-based pipeline from Assets through to Lighting and Compositing, and awareness of the dependencies and outputs within each stage.
Experience coordinating large-scale teams on feature film or series productions (animated features is strongly preferred).
Experience managing schedules, tracking progress, and delivering reports using asset and shot tracking software (knowledge of Autodesk Flow Production Tracking is preferred).
Proficiency in scheduling, with a strong understanding of core production tracking terminologies and metrics.
Strong project management skills, with the ability to organise and prioritise work across multiple areas efficiently.
Proven experience working across multiple departments and liaising between artists, supervisors, and production teams.
Ability to use production data to forecast future performance.
Ability to work effectively as part of a large production team while also working independently with minimal supervision.
Strong problem-solving, organisational, and multi-tasking skills.
Strong interpersonal and communication skills, with the ability to summarise information clearly.
Excellent attention to detail; highly organised, diligent, and resourceful.
Comfortable working in a fast-paced, constantly evolving environment.
Able to maintain a calm, adaptable approach while effectively motivating teams under pressure.

This role is based out of Sydney, Australia. Hybrid Role (Minimum of 3 days a week in the office).
