The Opportunity
Netflix is redefining how over 270 million members discover and connect with stories they love. At the heart of this transformation is the AI for Member Systems (AIMS) organization, responsible for developing and operating the AI systems powering recommendations, personalization, search, and discovery across the Netflix service at Member scale.
AIMS is a team of world-class AI researchers and engineers, delivering production models—including those powered by Generative AI and Large Language Models (LLMs). As the scope and impact of this work grows, we are seeking a seasoned Executive Assistant to act as a strategic partner to AIMS leadership. In this role, you will act as the strategic thought partner to AIMS Leadership and drive the organization's administrative initiatives.
A successful candidate is self-motivated, proactive, and a strong communicator, flexible, and able to make judgment calls and move quickly. Prior experience as an Executive Assistant in a fluid, fast-paced environment is a must, as is the ability to solve problems creatively. Netflix moves quickly, so we need someone who can not only excel in their day-to-day core work but also identify opportunities to make the overall team more organized and efficient. Someone who is curious, demonstrates significant initiative, and inherently exercises good judgment will be most successful both in the role and at Netflix.
Location: Bay Area preferred but not required. Must be able to travel to Los Gatos when the leader of AIMS is onsite, or events and team initiatives are scheduled.
Responsibilities include, but are not limited to:
Be the thought partner for the Leader of AIMS
Proactively manage high volume and complex calendars
Scheduling complex and high-visibility meetings, internally & externally, across global time zones
Drive all administrative operations
Event planning (team events, offsites, support with external meetings). Responsible for management & coordination related to venue/vendor sourcing & logistics, agenda coordination & presentation logistics
Prepare agendas, presentations, and subsequent materials for team meetings and events, as well as coordinate any follow-up items
Coordinate domestic and international travel arrangements
Expert and efficient communicator
Maintain distribution lists, Google Groups, Slack channels, and other similar tools for the team and serve as the point of contact for general team communications
Detailed and proactive expense reporting
Maintaining and strengthening internal and external cross-functional partnerships
The want and ability to provide in-depth assistance with VP and team projects as needed
Flexibility to work in a fluid environment, providing additional support where opportunities arise
Thrive in a fast-paced dynamic environment
Demonstrate an interest in incorporating AI into workflows
Qualifications:
5+ years of experience as an Executive Assistant, supporting multiple leaders with large, global teams across multiple time zones and cultures
Extensive experience within a technology or a rapidly scaling company
Strong executive written and verbal communication skills
Event planning experience: creating and managing team events/outings to promote business and interpersonal networking needs. Responsibilities can include sourcing, coordination, and management for all aspects of the venues/hotel, coordinating pre-planning, agendas, presentations, and AV needs
Experience leveraging AI tools to increase efficiency
Previous experience working with global and matrixed teams is highly preferred
Proficiency in Google Suite is required
Ability to be discreet and maintain confidential information
Responsive and able to work flexibly across multiple time zones
Understanding of how to prioritize, organize, and respond accordingly
Generally, our compensation structure consists solely of an annual salary; we do not have bonuses. You choose each year how much of your compensation you want in salary versus stock options. To determine your personal top of market compensation, we rely on market indicators and consider your specific job family, background, skills, and experience to determine your compensation in the market range. The range for this role is $125,000.00 - $220,000.00.
