We are seeking an experienced and exceptionally strong Executive Assistant to Support the Vice President - Content for APAC (excluding India ).
The successful candidate will be self-motivated, proactively tackle challenges and plan accordingly, be quick-thinking, flexible, and able to juggle multiple and diverse responsibilities. They will need to place a strong emphasis on organization and an unwavering attention to detail at all times. This is a very demanding and fast-moving position that requires someone who is able to exercise good judgment and significant initiative. This role can be based in Seoul OR Tokyo.
The successful candidate should display potential and ability to grow into a Business Operations, Project Management, or Coordinator role within Content.
Responsibilities include, but are not limited to:
Proactively complete calendar management which includes scheduling meetings (both internally and externally), managing scheduling conflicts, prioritization, and confirming meetings multiple weeks to months in advance
Complete travel management starting with identifying business impactful travels way in advance, also includes booking travel, organizing trip itineraries, and coordinating logistics for office and external visits. Coordinating detailed and sometimes challenging travel arrangements (domestic and international), maintaining passport, visas, global entry, as well as keeping the VP aware of travel restrictions and proactively scheduling and completing any and all applicable appointments and paperwork before and during travel
Manage and process expense reports with accuracy and compliance, ensuring timely reimbursements and financial reporting
Plan team and cross-functional offsites through coordination with all possible partners such as hotels, vendors for lodging, catering, flights, A/V, and transport
Manage special projects and ad hoc requisitions as needed, such as assistance with preparing presentations, compiling data through spreadsheets and internal tools, etc.
Run point when managing Content-wide events, regional leadership events, and activities that require coordination and support from all admins in Content and across APAC
Establish and maintain strong partnerships with Content and cross-functional admins
Work independently and remotely from the VP
Consistently maintain flexibility and openness to take on additional tasks as necessary or assigned, and consistently seek opportunities to support and enable the Content team to achieve maximum efficiency and output

Potential Business Operations-related tasks :
Maintaining logs used to track engagements within content projects, their status and proactively keeping the leadership team informed
Taking notes in meetings and circulating appropriate information to the greater team
The want and ability to provide in-depth assistance to the VP and team as needed
Qualifications:
8+ years of experience as an Executive Assistant - experience working with Senior Leadership is a must
Strong and efficient written and verbal communication skills - Bilingual skills, Japanese and/or Korean, English is a must
Proficiency in Google Workspace: Gmail, GCalendar, Google Docs, Google Groups, Google Sheets
High attention to detail
Event organization experience
Anticipate and resolve scheduling conflicts effectively and proactively
Responsive and able to work flexibly across multiple time zones
Able to stay calm under pressure and work on short deadlines
Strong organization skills, with the ability to prioritize, and switch easily between tasks
Experience in leading projects (in coordination with business and other Executive Assistants & Administrative Assistants) and ability to balance multiple complex projects simultaneously
Independent worker, with strong judgment and the ability to prioritize and respond accordingly, sometimes without direction from the executives
Excellent Judgment - is discreet and can maintain confidential information
Ability to travel for business (~10%)
Team-player who operates with urgency in an extremely fast-paced, ever-changing environment with the ability to multitask
Experience in the Content / Studio or other Entertainment related industry is a plus
