This role ensures that the office runs flawlessly day to day, delivering a high‑quality workplace experience while freeing our global Real Estate & Workplace Operations leader to focus on strategic initiatives, cross‑office projects, and large‑scale events
We are looking for an Office Manager / Employee Experience Coordinator based at our Tempe headquarters. You will be the local operational anchor for the office, ensuring seamless daily operations, an outstanding front‑of‑house experience, and well‑run meetings, events, and customer visits. You will balance front‑desk visibility with behind‑the‑scenes coordination, working closely with Real Estate & Workplace Operations, People, IT, Talent Acquisition, and senior leadership. Success requires calm under pressure, ownership of details, and a passion for improving how the office runs and feels over time.
This role exists to ensure operational excellence in Tempe H.Q. You will own day‑to‑day execution, local coordination, and issue resolution, becoming the onsite point of contact for vendors, deliveries, visitors, and employees.
Your success will be measured by your ability to:
- Keep the Tempe office running without disruption, with meeting rooms, common areas, and front desk consistently ready.
- Deliver a high‑quality workplace and first‑impression experience for employees, candidates, customers, and guests.
- Enable smooth onboarding, events, and customer visits, while freeing leadership capacity for strategic work.
The Impact you bring to Cognite
Office operations & facilities execution
- Manage day‑to‑day office operations and provide front desk coverage.
- Coordinate office access, badging, parking, and security with internal teams and building partners.
- Serve as the onsite contact with building management, vendors, and guests.
- Oversee maintenance, repairs, service requests, and kitchen/pantry upkeep.
- Manage office supplies, equipment procurement, and inventory.
- Ensure workplace standards, room setups, and overall office readiness every day.
Workplace experience & culture
- Own the front‑of‑house experience, including greeting guests, giving tours, and reception coverage.
- Coordinate cultural programming such as events, celebrations, and morale initiatives that bring employees together.
- Maintain a welcoming, polished environment across common areas and shared spaces.
- Partner with People Operations on local employee experience initiatives.
Meetings, events & customer visits
- Support Talent Acquisition with candidate scheduling and onsite coordination, with a strong focus on the candidate experience.
- Coordinate meeting logistics, catering, room readiness, and onsite needs for internal and external meetings.
- Support Customer Experience Center scheduling and onsite execution.
- Assist with executive visits and high‑visibility events, ensuring a “white glove” experience end to end.
- Support senior leadership team members with agendas, scheduling, and catering for key sessions.
Onboarding & employee support
- Prepare desks, coordinate equipment, and manage office orientation for new hires.
- Support new hire logistics in partnership with IT and People teams.
- Respond to employee workplace requests and questions as the first point of contact in the office.
