Summary:

We are looking to hire a Workplace Experience Coordinator to join our Workplace Experience team. This position is open to candidates based in Toronto and is required to be in-office Monday to Friday.

What your team does

This role reports directly to the Toronto Office Manager and is part of the global Workplace Experience (WX) team. The WX team works closely to manage Clio spaces, design solutions for facility concerns, learn and share knowledge, and create a unique workplace experience for all. In addition, the WX team provides operational support to employee events and People programs, working collaboratively with the People department functions and cross-functional teams.

Who you are

The Toronto Workplace Experience Coordinator is the on-the-ground anchor for all day-to-day workplace experience operations in the Toronto hub. You are highly organized, proactive, and service-oriented, with a natural ability to connect with people and anticipate needs. What you'll work on

  • Front office management and reception, including visitor and employee sign-in and access systems, mail management, and all other shipping/receiving;

  • Orienting employees and guests to the space through conducting site tours and wayfinding;

  • Maintenance of office space, ensuring they are well-stocked, clean, and welcoming; including light cleaning of communal spaces

  • Identify facility deficiencies, coordinate repairs, and track deficiency status

  • Support in regular facility inspections, keeping up-to-date facility inspection records, and coordination with building services for repairs and maintenance

  • Assist with planning, coordination, and communication of internal and external events, including company meetings, monthly mixers, holiday parties, and team socials/on-site

  • Collaborate with cross-functional teams, including People, IT, and OCEO, to ensure workplace policies and programs are executed and aligned with business objectives

  • Regular facility inspections to ensure all mechanical, electrical, and structural systems are operational,

  • Support the physical security of Clio's office ensuring secured systems are operational, site access badges are managed, and liaising IT/Security team as needed;

  • Assist with OH&S program coordination, including maintenance of OH&S records

  • Assist with workplace technology systems, including AV equipment, and video conferencing systems;

  • Liaise with vendors for F&B, socials, and office supplies

  • Tracking and processing workplace experience expenses through internal software programs

  • Collect and upkeep data to measure the effectiveness of workplace experience program

What you bring

  • 1-3 years of experience in office coordination, workplace experience, facilities, hospitality, and operations

  • Strong organizational and time-management skills, with the ability to manage and prioritize multiple tasks in a fast-paced environment

  • Excellent communication and interpersonal skills, with a service-oriented and professional approach

  • Comfortable working onsite and being a visible point of contact for employees, guests, and vendors

  • Ability to identify issues proactively, follow through on solutions, and escalate appropriately

  • Experience using workplace tools and systems (Google stack, Slack, ticketing systems, expense tools, or similar)

  • A high level of attention to detail and pride in creating welcoming, well-run spaces

  • Demonstrate a keen interest in improving your craft by using AI

Bonus points if you have

  • Previous experience in a tech, startup, or high-growth company environment

  • Familiarity with access control control systems, visitor management tools, or AV/meeting room technology

  • Exposure to workplace safety programs or compliance documentation

  • Experience in supporting events or on-site activations

  • First Aid certification (or willingness to obtain)

The expected salary range* for this role is $60,900 to $71,700 to $82,500 CAD. There are a separate set of salary bands for other regions based on local currency.

*Our salary bands are designed to reflect the range of skills and experience needed for the position and to allow room for growth at Clio. For experienced individuals, we typically hire at or around the midpoint of the band. The top portion of the salary band is reserved for employees who demonstrate sustained high performance and impact at Clio. Those who are new to the role may join below the midpoint and develop their skills over time. The final offer amount for this role will be dependent on geographical region, applicable experience, and skillset of the candidate.
