The Team:
An integral part of the global Celonis Workplace Experience team, the Regional Manager works closely and under guidance of VP, Global RE and Workplace Experience based out of Munich, and various internal stakeholders across the region.
This position is London based.
The Role:
Leading a small team of contractors, your main task will be to manage operations in our London office with 110 seats, providing an excellent service level to our employees, on time and on budget.
In addition, you will remotely oversee the operations in our offices in Amsterdam (30 seats in serviced office), Copenhagen (15 seats in serviced office) and Stockholm (30 seats in direct lease office) with occasional travel to these sites
The work you’ll do:
London Office:
- Deliver excellent service and employee/customer experience.
- Be the primary contact for employees, owning office presence.
- Manage the employee snack/beverage program with vendors.
- Support meetings & events (catering, setup, logistics).
- Oversee facility operations and building maintenance, maintaining landlord relations.
- Ensure office cleanliness, appearance, and functionality.
- Ensure health & safety and local compliance.
- Supervise third-party services/deliveries.
- Collaborate with site manager and HR on office strategy.
- Partner with IT/HR for new hire onboarding.
- Manage annual operational budget, including POs and invoices.
- Track site utilization and attendance.
Amsterdam, Copenhagen, and Stockholm Offices:
- Remote management of 3 smaller offices (10-35 seats).
- Collaborate with office providers and vendors to ensure service levels.
- Engage with local site leads to understand needs and drive strategy.
- Communicate office updates to local teams.
- Conduct annual site visits/assessments for health & safety compliance.
The qualifications you need:
- 4+ years of operations and office management experience, preferably in a fast-paced tech environment, hotel, or professional services environment with a focus on facility management
- Personal awareness, great communication (fluent in English, oral and written) and relationship management skills
- Well-groomed appearance and smart attire, professional body language at all times
- A passion for providing services with a sense of humor and an eye for detail
- Strong administrative, time management and organizational skills
- Ability to operate calmly under pressure and manage competing priorities
- Excellent IT and AV skills
- A strong financial understanding & ability to manage a budget autonomously
- Understanding of continuous improvement methodologies
- Self-starter, creative, enthusiastic, committed and determined
- Able to autonomously develop and implement solutions, to find cost savings or to develop creative ideas - according to the respective need
- Charismatic team player with the ability to coordinate themselves
- Reliable, accurate and detail-oriented with a proactive and professional Can-Do attitude and neat appearance at all times
